Recruitment Privacy Notice
Last updated: the 15th of October 2026
This notice explains how WISESTUDIO VENTURES LTD, trading as Demandflow ("Demandflow", "we", "us"), uses your personal data when you apply for a role with us, and what you can ask us to do with it. It sits alongside our Privacy Policy, which covers everything else, including how our website works.
1. Who we are
WISESTUDIO VENTURES LTD is the controller of your application data, which means we decide how it’s used and are responsible for it. We’re a private limited company registered in England and Wales, company number 13721849, and our registered office is First Floor, Swan Buildings, 20 Swan Street, Manchester, M4 5JW. For anything about this notice, email privacy@demandflow.co. For anything about your application itself, email careers@demandflow.co.
2. What we collect
From the application form for the role you apply for:
- your name, email address, country and time zone;
- your CV, and a link to your website or portfolio if you give one;
- your work history, years of experience and salary expectations;
- your answers to the questions about the role, and why you’re interested in Demandflow;
- how you heard about the role.
As your application moves on, we also hold:
- our emails and messages with you;
- notes and scores from the people who review your application and interview you, and the results of any skills assessment;
- the stage your application has reached, and the outcome;
- if we interview you on a video or phone call, a recording and transcript of it (see below).
We record and transcribe interviews held by video or phone call, using a meeting transcription service, so the people deciding have an accurate record of what was said. We tell you at the start of the interview. If you’d rather we didn’t, tell us, before or during the interview, and we won’t. It makes no difference to how we assess you.
We don’t ask for information about your health, ethnicity, religion, sexuality or any criminal record. If you tell us about a disability or anything else you’d like us to adjust for in the process, we use it only to make that adjustment.
We may also look at work you’ve published, such as your portfolio or a public professional profile you point us to. We take up references only for a candidate we intend to offer a role, and only with their agreement. If we do, we also hold what your referees tell us.
You don’t have to apply or give us any of this, but we can’t consider an application without the details the form marks as required.
3. How we use it, and why we’re allowed to
- To assess your application and run the process (reviewing it, arranging interviews and assessments, deciding, and telling you the result). Our lawful basis is that you asked to be considered for a role, so these are steps you’ve requested before any contract, and our legitimate interest in finding the right people to hire.
- To make adjustments you ask for. The law requires us to make reasonable adjustments for disabled candidates, so that is our lawful basis. Where this involves health information, we use it under the employment law condition in the Data Protection Act 2018, and only for the adjustment.
- To defend or deal with a legal claim about the recruitment process. Our legitimate interest in protecting the business.
- To record and transcribe interviews held by video or phone call. Our legitimate interest in keeping an accurate record of each interview, so we assess everyone fairly. You can ask us not to record or transcribe it.
- To consider you for future roles. Only if you agree: we ask you first.
People at Demandflow make every hiring decision. We don’t use automated decision-making or profiling to accept or reject applications.
4. Who sees it
Only the people involved in hiring for the role: the founders and the team members who review or interview. We don’t sell your data or share it with anyone for their own marketing. These providers handle it for us, on our instructions. Some are named; others are listed by the kind of service they provide:
| Provider | What they do for us | Where |
|---|---|---|
| ClickUp (Mango Technologies, Inc.) | The application forms, and where we track applications | ClickUp is a US company, and your data may be processed in the United States. Safeguard: the International Data Transfer Agreement in ClickUp’s data processing agreement. |
| A meeting transcription service | Records and transcribes interviews held by video or phone call | Depends on the provider. Where one processes data outside the UK, we rely on one of the safeguards described below. |
| Email and office software | Our email, including careers@demandflow.co, and the calendars and documents we use to arrange interviews | Depends on the provider. Where one processes data outside the UK, we rely on one of the safeguards described below. |
| Video call software | Interviews held by video call | Depends on the provider. Where one processes data outside the UK, we rely on one of the safeguards described below. |
Some of these providers process data outside the UK. Where they do, we rely on the safeguards described in part 7 of our Privacy Policy.
5. How long we keep it
- If you’re not offered the role, we keep your application, including any interview recording and transcript, for as long as we need to finish the process and deal with any questions about the decision, including the time in which a claim about it could be brought. Then we delete it.
- We keep it longer only if you agree to us keeping it for future roles, and we ask you before we do. When we ask, we tell you how long we’d keep it; at the end of that time we delete it, unless you agree again. You can ask us to delete it sooner.
- If we offer you a role, we check your right to work in the UK, as the law requires, and keep a copy of the documents for as long as you work for us and 2 years after.
- If you join us, your application becomes part of your working record, and we’ll tell you how we handle that separately.
6. Your rights
You can ask for a copy of your data, ask us to correct it or delete it, ask us to restrict how we use it, object to how we use it, and take back any consent you’ve given. Part 9 of our Privacy Policy explains each right and how we respond. To use any of them, email privacy@demandflow.co. Withdrawing your application is always fine: tell us and we’ll stop the process.
You have the right to complain to us if you’re unhappy with how we’ve handled your data, and we’d like the chance to put it right first; part 10 of our Privacy Policy explains how we handle complaints. You can also complain to the Information Commissioner’s Office (ICO), on 0303 123 1113.
7. Changes to this notice
If we change how we handle applications, we’ll update this notice and the date at the top.
